Policy on Accrued Annual Leave

The following policy applies to all research and instructional faculty who have, or have had, fiscal year (that is, 12-month) contracts.  This includes all faculty titles listed in the (online) faculty handbook, for example, professorial faculty, research scientists, instructors/lecturers, research associates, and faculty research assistants.

Faculty on 12-month contracts earn annual leave at the rate of 22 days per year.  (A recent change grants 25 days to those in their 21st year of employment or later.)  Annual leave up to a maximum of 50 days may be carried over from one year to the next.  In the past, when not explicitly specified otherwise in the contract, faculty who retired, resigned or who converted to an academic year contract, were eligible for a cash payout of unused annual leave up to a maximum of 45 days.  The new policy, as of March 15, 2001, is as follows:

1. Faculty with a 12-month contract that has been in force and unchanged since March 15, 2001

  • These faculty will continue to be eligible to receive annual leave payouts according to their contract.  If in the future no change is made in the contract, that eligibility will continue until termination of employment.  This includes research scientists whose contracts are renewed with no essential changes in their status.
  • These faculty who change their contract from fiscal year (12-month) to academic year (9-month) will be eligible to receive an annual leave payout according to their present contract on July 1 of the year in which the change becomes effective.
  • These faculty who change their contract to include a different ratio between the state-supported portion and the non-state-supported portion of the salary, will be eligible for a payout on any leave accrued prior to June 30 in the year in which the change becomes effective, said payout to be paid upon termination of employment or conversion to a 9-month contract.  No payout will occur for any leave accrued after July 1 of that year.

2. Faculty whose contract in its current form was established after March 15, 2001

  • These faculty will not be eligible for any payout, unless they are covered by the delayed scenario envisioned in the third bullet above.
